Position Summary:

18 month project. This position assists with the coordination of internal and external exhibition projects, and supports the administrative needs of the exhibitions program.

General Duties and Responsibilities:

  • Providing support and collaborating with the exhibitions team on the success of the internal and external exhibitions
  • Working closely with the exhibitions program manager to assist with contracts, budgets, facility review, content review, development of work plans, schedules, and team assembly
  • Organizing and assembling deliverables to venues, as well as internal parties
  • Preparing and compiling exhibition checklists
  • Assisting in the completion of forms for exhibition loans
  • Assisting with the preparation and production of exhibition label content
  • Proof-reading exhibition labels, text panels, and other collateral
  • Participating in the review of exhibition layouts for accuracy
  • Participating in the review of exhibition-related marketing and merchandising material, as well as catalog and other collateral material submitted for approval
  • Documenting exhibitions via installation photos and organized files with samples
  • Coordinating travel for exhibitions team; working with venues and internal teams to verify and confirm bookings and all arrangements; creating travel packets
  • Traveling domestically and internationally, as needed, for external exhibitions work
  • Assisting in installation supervision, as needed
  • Liaising with studio archives and technical teams, as well as other studio staff and external partners to provide exhibitions information
  • Assisting with long-term projects, such as creating new manuals, organizing existing materials, and establishing protocol for archiving exhibitions; designing and revising appropriate forms, logs, etc.
  • Assisting in the organization and facilitation of meetings including creating agendas and meeting materials, taking minutes, preparing Powerpoint and Keynote presentations, and other support as needed
  • Processing incoming invoices, check requests, and expense reports
  • As needed, running errands such as collecting samples or exhibition supplies
  • Additional tasks, as assigned

 Qualifications:

  • B.A. degree in art-related field, and knowledge of museum standard practices, preferred
  • Exhibition coordination experience preferred, including ability to handle and prioritize multiple projects simultaneously
  • Extremely organized and accurate; detail-oriented, meticulous, and conscientious in following through on assigned tasks; flexible and resourceful; extremely reliable and dependable; discrete with sound judgment
  • Experience working in an office environment, providing administrative support, including scheduling, answering phone calls, typing, invoicing, and filing
  • Ability to work under pressure and meet deadlines
  • Excellent written, verbal, and interpersonal communication skills
  • Ability to work independently, as well as part of a team
  • Computer proficiency (Office suite, as well as Photoshop, Illustrator, and Sketch Up); experience with Mac; working knowledge of database management software (Filemaker Pro, Excel); experience working with shared internet sites (e.g., Wiki)
  • Valid California driver’s license, as well as access to a car, and proof of current automobile insurance preferred

Physical Factors:

  • Ability to lift up to 50 lbs.
  • Occasional domestic and international travel in support of Pixar’s exhibitions program
