Project Archivist, Oral History Projects, Academy Film Archive

Full Time – 1 year term position

Job Summary

The Academy Oral History Projects department, housed within the Academy Film Archive, is seeking an experienced and highly motivated professional to fill the position of Project Archivist to inventory audiovisual oral history collections in preparation for digital preservation and access. This is a temporary appointment for one year.  Reports to the Manager of Oral History Projects.

Duties and responsibilities:

The Academy is the lead in a grant-funded digital archive planning project to consolidate filmmaker oral history collections. The Project Archivist for the Motion Picture Oral History Digital Archive project will be charged with conducting an initial survey of the entire collection, and developing a processing plan in consultation with the OHP Archivist and Manager of Oral History Projects. The Project Archivist will have additional support from the staff of the Academy Film Archive and graduate student interns. The primary deliverable of the project is completed inventories for all seven Consortium partner collections and their subsequent preparation for digital preservation.

  • In consultation with OHP Archivist, assess collection holdings and prioritize processing
  • Create and update records using the Archive’s MAVIS database
  • Develop overall work plan with milestones for project completion
  • Track and document information to include in reports for the Manager of Oral History Projects
  • Assist OHP Archivist & Manager in supervising interns

Arrangement and Description

  • Process incoming collections and gather information from donors/depositors
  • Create general, inventory-level catalog records in accordance with departmental specifications and professional standards
  • Research and create contextual information for each collection

Planning and Prioritization

  • Assist Academy Film Archive  and OHP staff as well as Consortium partners in acquisition planning, prioritization decisions, and potential de-accessioning
  • Work with the Digital Curator and Manager of Oral History Projects to identify material for digitization priority
  • Research into rights and permissions to use interview collections

Qualifications and Requirements:

  • Master’s degree in Moving Image Archival Studies or Master’s degree from an ALA-accredited library or information science program with a concentration in archival studies
  • Experience inventorying video collections
  • Experience cataloging audiovisual materials using MAVIS, FileMaker Pro or similar databases
  • Excellent research, writing, and communication skills (both written and verbal)
  • Detail-oriented and ability to be flexible
  • Strong organizational skills with demonstrated initiative to complete projects within deadlines


  • Experience working with audio and video oral history material, preferably motion picture related
  • Experience in the operation of video viewing equipment
  • Knowledge of filmmaking production practices or other relevant subject expertise
